When it comes to maintaining records of income and expenses, running a churchs finances is similar to running finances of other organizations. An organized and accurate accounting system is crucial to the success of any organization because it helps achieve a transparent and efficient operation. Thus, a church accounting software is a must for a church that aims to improve its accounting system and funds management.

An extensive software offers complete features that can be used separately or at the same time. This software includes features that aid in fund accounting, check registry, budgeting, and payroll. And these features must be interconnected for a convenient recordkeeping. An accounting software should allow managing of different checking and savings accounts. In addition to that, the accounting software must enable users to make and print reports of the latest financial information.

The comprehensive software package must cover fundamental reports such as budget report, balance sheet, contribution statement, expense report, payroll checks, summary of donations, fund balance, tax reports, and transaction reports. It is better if the accounting software is flexible enough so that the reports and charts for presentations can be easily modified.

Usually, most of the people who staff the church offices are either volunteers or have no accounting training. Thus, the church accounting software should have an easy interface and user-friendly functions. The software should not be complicated and can be operated by anyone with basic computer knowledge. Integration of the different features will come in handy in this respect. For example, when posting entries in the check registry, the same data are posted in related fund accounting fields, eliminating the need to enter the same data twice. Most of the commands should be accomplished at one click of the mouse.

Other user-friendly features that should come with a comprehensive software are mail merge and data exporting abilities to other software. Big churches have different offices or several computers in one office. This is the reason why, lastly, the software must be capable of supporting multiple user accounts. This is to avoid processing lags, and also to enable different people to use the system at the same time.

Online backup is another great feature found in a comprehensive church accounting software. CDs, DVDs, external hard drives, and other traditional backup methods are not always reliable. They can be misplaced, corrupted by viruses, or stolen. Online backup stores computer files in a remote server. So no matter what happens to a computer in your church, you will never lose your data. Whats more, the data stored is updated at all times. Data can be retrieved immediately, so the operations of the church will not be disrupted by the data recovery process.

Finally, the software company must be able to provide technical and customer service support. Communicating with the software company must be hassle free via telephone, e-mail, or chat.

Even as a religious institution, a church manages its own finances"a fact that people usually find a bit awkward. It is because of the widely held belief that religion and money must never go together. But it is hard to imagine how any organization"religious or secular"survives its daily operation without money. Ask any priest or pastor: he would tell you that money is important in practically every activity, project, or event initiated by a church. Managing the funds of a church is quite complicated because money is used in many aspects such as monthly salaries of employees, water and electricity bills, and daily collections. Sometimes, huge donations from generous parish members need to be handled efficiently as well.

Even as a religious institution, a church manages its own finances”a fact that people usually find a bit awkward. It is because of the widely held belief that religion and money must never go together. But it is hard to imagine how any organization”religious or secular”survives its daily operation without money.

Handling the finances of a church should be no different from that of a business. Churches can take advantage of modern technology to aid their daily operations just as businesses can. Aware of the money management needs of religious organizations, software providers have come up with various church accounting software programs.

The main importance of using church accounting software is to streamline a churchs accounting system. Having an automated accounting system will make it easier to track the churchs finances. With the right software in place, it wouldnt be difficult to account for income or inflow of cash such as contributions, pledges, accounts receivables, daily collections, revenue from church projects and so on. Disposition of these funds for expenses like paying employees, bills such as electricity and water, insurance, maintenance of church equipment, outreach programs and other expenses, will also be recorded properly.

The church accounting software can also help resolve transparency issues. Most churches lack accounting control; some have none at all. Usually, only one person takes charge of a churchs finances, and no external auditing checks how the churchs money is handled. Many accounting software programs are easy to use and access by several users. These software programs also allow recording of any correction done in the entries. Because of the functions of accounting software programs, one can see the audit processes of a church. It is possible for church officers to check or audit the finances of their parish. Thus, the accounting software can keep a churchs accounting officer or treasurer from mishandling the funds and from being suspected of that act.

With the accounting software, a church can make its administrative system more efficient. The software facilitates inputting, keeping, and accessing financial data of a church. Using the software results in finishing different reports within just a few hours rather than days. It also makes budget creation for any church-related event a lot easier. The software even benefits members of the church because it allows easy access and printing of tithes or donation records for tax exemption purposes. As you may know, religious institutions are exempted from tax.

A number of software programs can aid in the non-financial aspects of church management. For example, an accounting software program can be used to monitor church attendance and church activities such as weddings, baptisms, and funerals.

To conclude, the financial aspect of a church should not be separated from its religious aspect. A church can serve its parishioners better if it has an efficient system for managing its finances.

Over the years accountants have been stereotyped as being boring, balding, and out-of-shape. Try visualizing an accountant in your head and you will most likely visualize someone like Kevin Malone from the T.V. Show “The Office.”

The author of this article is in the church accounting software industry. Below are ten jokes that the author has accumulated over the years about church accountants. These jokes could be applied to accountants in general.

Question: The difference between a lawyer and a church accountant is what? Answer: The lawyer doesn’t recognize that he/she is boring. As an accountant I remember times giving presentations on technical issues and almost falling asleep as I was talking. The poor listeners.

Question: How was copper wire invented? Answer: Two church accountants were arguing over the widow’s mite.

Question: What’s an example of an extroverted accountant? Answer: One who looks at your shoes while she is talking to you, in contrast to looking at her own shoes. Again, church accounting staff must laugh at how they have been stereotyped over the years.

Question: Why did the church auditor cross the road? Answer: Because he looked in the file and that is what he did last year. If you have ever had to audit anyone, you’ll appreciate this joke. Most of your work consists of trying to figure out what happened during the audit last year, and then applying it to this year.

The next joke is appropriate for the tax season. A church accountant is talking with a friend on his deathbed. Just before the church accountant dies, he tells his friend to send his body to the IRS with the attached envelope. The friend out of curiosity reads the letter. The letter says, “There, now you have everything.”

Feel free to use these jokes on any church accountants you may know. Despite popular beliefs, accountants have a pretty good sense of humor.
